1. What is "personal information"?

1. (a) The Privacy Act 1988 (Cth) currently defines "personal information" as meaning information or an opinion about an identified individual or an individual who is reasonably identifiable:
   • whether the information or opinion is true or not; and
   • whether the information or opinion is recorded in a material form or not.
2. (b) If the information does not disclose your identity or enable your identity to be ascertained, it will in most cases not be classified as "personal information" and will not be subject to this privacy policy.

2. What information do we collect?

The kind of personal information that we collect from you will depend on how you use the website. The personal information which we collect and hold about you may include: name; email address; phone number; business name; Australian Business Number (ABN); business type; estimated annual turnover; and the nature of bookkeeping or accounting services you are interested in.

3. How we collect your personal information

1. (a) We may collect personal information from you whenever you input such information into the website.
2. (b) Our website forms are protected by Google reCAPTCHA to prevent spam and abuse. When you submit a form, Google reCAPTCHA may collect your IP address and behavioural data to verify that you are a human user. This data is processed by Google in accordance with Google's Privacy Policy.

4. Purpose of collection

1. (a) The purpose for which we collect personal information is to provide you with the best service experience possible on the website.
2. (b) The information we collect will be used to provide the service requested or to respond to queries.
3. (c) We disclose personal information to third-party service providers who assist us in operating the website. These include:
   • Supabase (United States) — secure database storage of enquiry submissions;
   • Resend (United States) — transactional email delivery of enquiry notifications and confirmation emails; and
   • Google reCAPTCHA (United States) — spam and bot prevention on website forms.
   Your personal information may also be accessible to maintenance and support personnel acting in the normal course of their duties.
4. (d) By using our website, you consent to the receipt of direct marketing material. We will only use your personal information for this purpose if we have collected such information direct from you, and if it is material of a type which you would reasonably expect to receive from us. We do not use sensitive personal information in direct marketing activity. Our direct marketing material will include a simple means by which you can request not to receive further communications of this nature.
5. (e) We will not disclose information about you unless the disclosure:
   • (i) Is required by law
   • (ii) Is authorised by law; or
   • (iii) You have consented to our disclosing the information about you.

5. Third-party software and integrations

We use third-party software to deliver our bookkeeping and accounting services, including accounting platforms such as QuickBooks Online, Xero and MYOB.

Where you engage us, information necessary to maintain your accounting records and to prepare and issue invoices may be transferred to and stored in these platforms. This can include your name or business name, contact details, ABN, and details of the services we have provided to you.

Our internal practice management system, TruHub, connects to these platforms using secure authorised connections (OAuth 2.0). We do not hold or store your accounting platform login credentials. Access can be revoked by us or by you at any time.

Some of these providers store data outside Australia. We only use providers we consider to maintain appropriate security practices, and we transfer only the information necessary to provide our services.

We do not sell your information, and we do not share it with third parties for marketing purposes.

Access to and use of TruHub is also governed by our Terms of Use.

6. Access and correction

1. (a) Australian Privacy Principle 12 permits you to obtain access to the personal information we hold about you in certain circumstances, and Australian Privacy Principle 13 allows you to correct inaccurate personal information subject to certain exceptions. If you would like to obtain such access, please contact us as set out below.
2. (b) We are not required to provide access where:
   • (i) The information relates to existing or anticipated legal proceedings, between an individual, and us, and the information would not be accessible by the process of discovery in those proceedings;
   • (ii) Where denying access is required or authorised by law; or
   • (iii) Providing access would be unlawful.

7. Complaint procedure

If you have a complaint concerning the manner in which we maintain the privacy of your personal information, please contact us as set out below. All complaints will be considered by TruAccounts and we may seek further information from you to clarify your concerns. If we agree that your complaint is well founded, we will, in consultation with you, take appropriate steps to rectify the problem. If you remain dissatisfied with the outcome, you may refer the matter to the Office of the Australian Information Commissioner.

8. Overseas transfer

Some of our third-party service providers are based outside Australia, and your personal information may be transferred to and stored on servers located in the United States. Specifically, Supabase, Resend, and Google (reCAPTCHA) process data on infrastructure based in the United States.

By submitting a form on this website, you consent to your personal information being transferred to these overseas recipients. Please note that overseas recipients are not required to comply with the Australian Privacy Principles, and we are not liable for any mishandling of your information by those recipients. Each provider operates under their own privacy policy and applicable data protection laws.

9. Data retention

Personal information submitted through our website forms is retained indefinitely to enable us to manage client enquiries and maintain accurate business records. If you wish to request deletion of your personal information, please contact us using the details below and we will action your request in accordance with our obligations under the Privacy Act 1988 (Cth).
